This Health & Safety Statement sets out the commitment of Simpli Green Ltd to providing and maintaining safe and healthy working conditions for employees, contractors, visitors and any other persons who may be affected by our work activities.

1. Health and Safety Policy Statement

Our policy is to provide and maintain safe and healthy working conditions for all employees by providing appropriate tools, equipment, operational processes and safe systems of work covering our activities.

1.1 Management accepts responsibility for applying this policy and for providing information, instruction and training to achieve this purpose.

1.2 We will ensure every employee understands that they must co-operate with and support the successful implementation of health and safety arrangements.

1.3 We will monitor, audit and regularly review this policy and measure safety performance to support continual improvement.

1.4 We will minimise risks created by work activities, products and services and secure involvement and participation at all levels.

1.5 We will assess risks to safety and health and implement actions shown to be necessary.

1.6 Where any activity may endanger the health of an employee, it will be monitored and, where necessary, suitable health surveillance arrangements will be made.

1.7 We recognise that visitors, neighbours, contractors and other persons may be affected by our activities and accept our responsibility to provide appropriate levels of safety for them.

1.8 Our commitment to this policy supports the development of a positive health and safety culture across all areas of our activities.

1.9 All subcontractors will be required to comply with current health and safety legislation.

2. Introduction to the Health and Safety Policy

Simpli Green Ltd recognises its responsibility to secure the safety, health and welfare of employees.

This policy specifies the arrangements made for this to be carried out, including available resources, the names of responsible persons, the co-operation required from employees, consultation procedures and available information.

3. Review of the Health and Safety Policy

Management will review this Health and Safety Policy annually.

Reviews may also take place sooner where there are significant changes to legislation, business operations, working practices, premises, equipment, staffing arrangements or following an accident, incident or near miss.

4. Communication of the Health and Safety Policy to Employees

It is important that this policy is read and acknowledged by all employees.

This policy will be presented during induction to new employees and made available at all times thereafter.

Employees are expected to understand their responsibilities under this policy and to co-operate fully with the Company’s health and safety arrangements.

5. Health and Safety Training

Simpli Green Ltd is committed to ensuring that every employee receives appropriate health and safety training to carry out their duties safely and competently.

All employees will receive information and training covering, where applicable:

5.1 The Company's Health and Safety Policy.

5.2 The structure and management system used to deliver this policy.

5.3 The health and safety risks associated with their work activities.

5.4 Construction (Design and Management) Regulations 2015 where applicable, particularly the duties of designers and contractors.

Every employee will receive induction training before commencing work. This training may include fire procedures, emergency arrangements, warning systems, escape routes, assembly points, accident reporting, first aid arrangements, PPE requirements, COSHH awareness and any other health and safety requirements relevant to their role.

A training matrix will be maintained to ensure every employee receives suitable training for their role. Training requirements will be reviewed following changes to job roles, promotions, new technology, accidents, incidents or performance reviews.

Records of all completed training will be maintained by the Company.

6. Consultation with Employees

Simpli Green Ltd believes that effective consultation with employees is essential to maintaining a safe working environment.

We will consult with employees, elected representatives or recognised representatives where appropriate on matters relating to health and safety.

Consultation may include:

6.1 Risks arising from work activities.

6.2 Measures introduced to eliminate or reduce risk.

6.3 Health and safety procedures and responsibilities.

6.4 Health and safety training requirements.

6.5 Planning and implementation of health and safety changes.

7. Planning, Measuring, Auditing and Reviewing Safety Performance

7.1 Planning

Our objective is to minimise risks arising from work activities by identifying hazards, assessing risks and implementing appropriate control measures.

Wherever reasonably practicable, hazards will be eliminated. Where this is not possible, suitable systems of work and personal protective equipment will be implemented.

7.2 Measuring Performance

The effectiveness of our health and safety arrangements will be measured through investigation of accidents, incidents, near misses and work-related ill health.

Lessons learned will be used to identify underlying causes and implement corrective actions to prevent recurrence.

7.3 Auditing and Review

Health and Safety arrangements will be regularly audited and reviewed by management to ensure continual improvement of policies, procedures and safe working practices.

8. Health and Safety Responsibilities

Effective health and safety management depends upon the co-operation of Directors, Managers, Employees and Contractors. Every individual has a responsibility to contribute towards maintaining a safe working environment.

8.2.1 Monitoring health and safety performance.

8.2.2 Communicating the Health and Safety Policy to employees.

8.2.3 Managing health and safety training records.

8.2.4 Maintaining accident records and reporting dangerous occurrences.

8.2.5 Keeping management informed of changes to health and safety legislation.

8.2.6 Ensuring suitable fire risk assessments and fire protection arrangements are maintained.

8.2.7 Monitoring first aid arrangements and supplies.

8.3 Director Responsibilities

8.3.1 Ensure health and safety risks are properly assessed.

8.3.2 Ensure the Company's health and safety management system is implemented.

8.3.3 Allocate sufficient resources for health and safety.

8.3.4 Consider health and safety during planning and operational changes.

8.3.5 Ensure accidents and incidents are investigated.

8.3.6 Monitor the effectiveness of the health and safety management system.

8.3.7 Hold managers accountable for health and safety performance.

8.4 Management Responsibilities

8.4.1 Maintain appropriate knowledge of Health & Safety legislation.

8.4.2 Ensure safe systems of work and suitable risk assessments are implemented.

8.4.3 Implement suitable method statements where required.

8.4.4 Maintain equipment safely and ensure inspection records are kept.

8.4.5 Maintain safe and tidy workplaces.

8.4.6 Ensure appropriate PPE is available and used.

8.4.7 Operate permit-to-work systems where applicable.

8.5 Subcontractors

All subcontractors must comply with current Health and Safety legislation and, where appropriate, the Company's Health and Safety Policy.

8.5.1 Carry out work safely and responsibly.

8.5.2 Record all injuries in the Company's accident records where required.

8.5.3 Co-operate fully with Site Supervisors.

8.5.4 Provide evidence of competence and training when requested.

9. Rules Covering Health and Safety at Work

The following rules apply to all employees, contractors and visitors working on behalf of Simpli Green Ltd. These rules are designed to ensure a safe working environment and compliance with current Health and Safety legislation.

Failure to follow these rules may result in disciplinary action and, where appropriate, legal action under Health and Safety legislation.

9.1 Working Practices

9.1.1 Employees must only operate plant or equipment they are trained and authorised to use.

9.1.2 Machinery guards and safety devices must never be removed or bypassed.

9.1.3 Faults, damage or defects must be reported immediately.

9.1.4 Moving machinery must never be cleaned while operating.

9.1.5 Machinery or equipment must not be left running unattended unless authorised.

9.1.6 Repairs or maintenance must only be carried out by authorised persons.

9.1.7 Chemicals and hazardous substances must only be used in accordance with manufacturer instructions.

9.1.8 All pedestrian and vehicle traffic controls must be observed.

9.2 Hazard Warning Signs

All employees must comply with warning signs, notices, barriers and safety instructions displayed on Company premises or work sites.

9.3 Working Environment

9.3.1 Employees must use all equipment and facilities correctly.

9.3.2 Stairways, walkways and work areas must be kept clean and free from obstruction.

9.3.3 Waste materials must be disposed of using approved facilities.

9.3.4 Spillages must be cleaned immediately.

9.3.5 Hazardous substances must never be discharged into drains or watercourses.

9.4 Personal Protective Equipment (PPE)

9.4.1 Appropriate PPE must be worn whenever instructed.

9.4.2 Damaged or unsuitable PPE must be reported immediately.

9.4.3 Suitable protective clothing, gloves, eye protection and other PPE must be worn when handling hazardous substances.

9.4.4 COSHH guidance and manufacturer instructions must always be followed.

9.5 Fire Precautions

9.5.1 Employees must follow all emergency evacuation procedures.

9.5.2 Fire exits, escape routes and fire doors must never be obstructed.

9.5.3 Any use of firefighting equipment must be reported immediately.

9.6 Company Vehicles

9.6.1 Company vehicles must be inspected regularly in accordance with manufacturer recommendations.

9.6.2 Employees must hold the correct licence before operating any vehicle.

9.6.3 Unauthorised passengers or loads must not be carried.

9.6.4 Vehicles must never be overloaded.

9.6.5 Employees must not drive if affected by illness, medication or fatigue.

9.6.6 The Highway Code must always be followed and suitable breaks taken during long journeys.

9.6.7 Employees using their own vehicles for Company business must maintain appropriate business insurance.

9.7 Accidents and Incidents

9.7.1 All injuries must receive appropriate medical attention.

9.7.2 All accidents, incidents and dangerous occurrences must be reported immediately.

9.7.3 Damage to Company or customer property must be reported without delay.

9.7.4 Reportable incidents will be notified to the Health & Safety Executive where required by law.

9.8 Health

9.8.1 Employees must inform management of any medical condition or prescribed medication that may affect safety.

9.8.2 Employees must co-operate with occupational health arrangements where required.

9.9 Alcohol and Drugs

9.9.1 Alcohol and unauthorised drugs are strictly prohibited whilst working or attending Company premises or sites.

9.9.2 Anyone believed to be under the influence may be removed from site immediately.

9.9.3 The Company reserves the right to require testing where appropriate and lawful.

9.10 Gross Misconduct

Serious breaches of Health and Safety rules may be treated as gross misconduct and could result in summary dismissal.

Examples include:

Wilful breach of safety rules.

Removal or interference with safety guards or protective devices.

Unauthorised use of plant or machinery.

Misuse or removal of first aid equipment.

Deliberate damage to safety equipment.

Misuse of hazardous substances.

Horseplay or behaviour likely to cause injury.

Falsifying accident or safety records.

Working whilst under the influence of alcohol or unauthorised drugs.

10. Fire Evacuation

Simpli Green Ltd maintains emergency fire procedures to protect employees, visitors and contractors.

In the event of a fire:

10.1 Raise the alarm immediately.

10.2 Contact the Emergency Services by dialling 999.

10.3 Evacuate using the nearest safe exit.

10.4 Proceed directly to the designated assembly point.

10.5 Do not stop to collect personal belongings.

10.6 Do not re-enter the building until authorised by the Fire Service.

10.7 Roll calls will be carried out to ensure everyone has evacuated safely.

11. Accident Reporting and Investigation

Simpli Green Ltd is committed to investigating all accidents, incidents and near misses to identify root causes and reduce the likelihood of recurrence.

11.1 All accidents, regardless of severity, must be reported to a manager immediately.

11.2 Near misses and dangerous occurrences must also be reported.

11.3 Accident records will be maintained in accordance with legal requirements.

11.4 Investigations will identify causes and any corrective actions required.

11.5 Lessons learned will be communicated where appropriate to prevent similar incidents.

12. First Aid Arrangements

Simpli Green Ltd will provide suitable first aid arrangements in accordance with the Health and Safety (First Aid) Regulations.

12.1 Suitable first aid equipment will be provided and maintained.

12.2 Trained first aid personnel will be appointed where required.

12.3 First aid kits will be regularly inspected and replenished.

12.4 Emergency contact details will be readily available.

12.5 Employees must report any shortages or damaged first aid equipment immediately.

13. Emergency Procedures

Emergency arrangements are designed to minimise the risk to people, property and the environment.

Employees must:

13.1 Follow emergency instructions immediately.

13.2 Make themselves familiar with evacuation routes and assembly points.

13.3 Report any emergency equipment defects without delay.

13.4 Assist emergency services where requested and where it is safe to do so.

13.5 Never place themselves or others at unnecessary risk during an emergency.

14. Reporting of Dangerous Occurrences (RIDDOR)

Certain accidents, dangerous occurrences and occupational diseases are reportable under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations (RIDDOR).

14.1 Management will determine whether an incident is reportable.

14.2 Reportable incidents will be notified to the Health and Safety Executive within the required timescales.

14.3 Records of all reportable incidents will be retained.

14.4 Investigations will be completed and corrective actions implemented where necessary.

15. Risk Assessments

Simpli Green Ltd will identify workplace hazards and carry out suitable and sufficient risk assessments for all significant work activities.

15.1 Hazards will be identified before work begins.

15.2 Risks will be evaluated and suitable control measures implemented.

15.3 Risk assessments will be communicated to employees carrying out the work.

15.4 Assessments will be reviewed following changes in work activities, legislation, equipment or after an accident.

15.5 Employees are expected to follow all identified control measures.

16. Safe Working Procedures and Method Statements

Where work activities involve significant risk, suitable Safe Systems of Work and Method Statements will be prepared before work commences.

16.1 Method Statements will describe the work to be carried out safely.

16.2 Employees and contractors must read and understand all relevant Method Statements before starting work.

16.3 Safe Systems of Work must always be followed.

16.4 Any deviation from approved working methods must be authorised by management.

16.5 Method Statements will be reviewed whenever working practices or site conditions change.

17. Personal Protective Equipment (PPE)

Simpli Green Ltd will provide suitable Personal Protective Equipment (PPE) wherever risks cannot be adequately controlled by other means.

17.1 PPE will be provided free of charge where required by legislation.

17.2 Employees must wear PPE whenever instructed or where identified within a Risk Assessment or Method Statement.

17.3 PPE must be inspected before use and any defects reported immediately.

17.4 Employees are responsible for maintaining PPE in good condition.

17.5 Damaged or defective PPE must not be used.

18. Work Equipment

All work equipment provided by Simpli Green Ltd will be suitable for its intended purpose and maintained in a safe condition.

18.1 Equipment must only be used by trained and authorised persons.

18.2 Equipment must be inspected before use.

18.3 Defective equipment must be removed from service immediately.

18.4 Maintenance and inspections will be carried out at suitable intervals.

18.5 Employees must never modify safety devices or machine guards.

19. Control of Substances Hazardous to Health (COSHH)

Simpli Green Ltd will identify hazardous substances used within the business and ensure they are managed safely.

19.1 COSHH assessments will be completed where required.

19.2 Safety Data Sheets will be available for hazardous substances.

19.3 Appropriate PPE must be worn when handling hazardous materials.

19.4 Hazardous substances must be stored securely and correctly labelled.

19.5 Employees must follow manufacturer instructions at all times.

20. Display Screen Equipment (DSE)

Employees who regularly use computers or display screen equipment will have their workstations assessed to minimise health risks.

20.1 Workstations will be assessed in accordance with DSE Regulations.

20.2 Employees should report any discomfort or health concerns.

20.3 Suitable breaks should be taken during prolonged screen work.

20.4 Equipment and furniture will be adjusted to promote good posture.

21. Manual Handling

Simpli Green Ltd will reduce manual handling risks wherever reasonably practicable.

21.1 Manual handling assessments will be completed where appropriate.

21.2 Mechanical lifting aids should be used wherever possible.

21.3 Employees will receive manual handling training where required.

21.4 Employees should never attempt to lift loads beyond their capability.

21.5 Unsafe lifting activities must be reported immediately.

22. Working at Height

Working at height presents significant risks and will only be carried out where properly planned, supervised and controlled.

22.1 Suitable access equipment must always be used.

22.2 Ladders must only be used where appropriate and inspected before use.

22.3 Scaffolding and access platforms must only be erected by competent persons.

22.4 Fall prevention and fall protection measures must be implemented where required.

22.5 Work at height must stop if weather conditions make it unsafe.

23. Fatigue Management

Fatigue can significantly increase the likelihood of accidents and poor decision-making.

23.1 Employees should take suitable rest breaks throughout the working day.

23.2 Long driving periods should be planned with appropriate breaks.

23.3 Employees who believe they are too fatigued to work safely must notify their manager immediately.

23.4 Managers will consider workload, working hours and travel when planning work.

24. Construction (Design and Management) Regulations (CDM)

Simpli Green Ltd recognises its duties under the Construction (Design and Management) Regulations 2015 and will ensure that construction projects are planned, managed and monitored safely.

24.1 Suitable arrangements will be made for planning construction work safely.

24.2 Designers, contractors and other duty holders will fulfil their legal responsibilities.

24.3 Construction work will only be undertaken by competent persons.

24.4 Risks will be identified, assessed and controlled before work begins.

24.5 Co-operation and communication between all parties involved in a project will be maintained throughout the works.
